Purpose of the job / project

LNDS is a growing organisation and we are seeking to reinforce our Operations department to smoothen operation of our office and providing administrative support to our employees and our various departments.

Working behind the scenes, we make a significant impact on the colleagues we support. We're adept at leading and managing a variety of simultaneous projects, which requires the particular talent of being able to communicate effectively with all the organisation.

What you will do
  • Act as the first point of contact for our Office Management (OM),Finance and People ticketing service addressing requests, or delegating or escalating them, as necessary. 
  • Perform general administrative tasks such as scanning, filing, data entry and document management for all enabling functions teams. 
  • Support and/or execute the organisation of meetings, trainings and events, including ordering catering, preparing meeting rooms or booking external venues, coordinating attendees’ lists, welcoming guests, and providing refreshments. 
  • General administrative support to employees and departments of LNDS (including external meeting planning). 
  • Support the organisation of our yearly event: Data Summit Luxembourg. 
  • Support or coordinate the smooth running of our offices by handling the reception, mails/parcels, logistics, purchase of furniture and office tools, entrance badge, visitors, phone calls, … 
  • Support or coordinate the orders for food items such as fruits, cereals, milk, coffee, and tea. Including taking care of kitchen appliances disruptions / daily maintenance. 
  • Support and/or implement tasks in relation to the general asset registration process (packaging check, order compliance, asset registration, label printing).
  • Support and/or implement tasks in relation to our travel planning system (TravelPerk) and provide occasional support to travellers. 
  • Support and/or implement tasks in relation to our floor layouts and our flexible desk booking system. 
  • Support and/or implement tasks in relation to the building’s security, insurance contracts, ISO27001 certification in relation to office management, health and safety, fire and security alarm, first aid, and more. 
  • Support and/or follow-up on tasks in relation to the coordination of our contracts and relation management with LNDS external providers (cleaning, kitchen appliance, “Fonds Belval” in charge of LNDS buildings management, …).
Who you are
  • Technical education or associate’s degree or equivalent in Business Administration or a related field preferred or certifications (such as Certified Administrative Professional CAP) 
  • 3 to 5 years of proven experience in various domain, such as office management / facility management / administrative role. 
  • Experience in small or medium organisations, preferably agile and international.  
  • Computer literate with excellent skills in Microsoft Office. 
  • Fluency in French and proficient in English. 
  • Excellent communication and interpersonal skills.
  • Organised, detail-oriented, and capable of multitasking. 
  • A proactive, friendly, agile and supporting attitude. 
  • Ability to identify issues and propose effective solutions. 
  • Strong time management skills to handle a variety of tasks within tight deadlines. 
  • Ability to work well within a team and support colleagues. 
  • A strong positive mindset on providing excellent service and support to internal and external stakeholders.
